Data Deletion Policy
Your Data Deletion Rights: Simple, Straightforward Details for Your Peace of Mind
We respect your privacy and is committed to handling personal data fairly, securely, and in accordance with applicable UK data protection law. This Data Deletion Policy explains how you can ask UnGuise to delete personal data, when deletion will be carried out, and when UnGuise may need to retain certain information despite a deletion request.
This policy should be read alongside the UnGuise Privacy Policy and Terms and Conditions, which explain how personal data is collected, used, stored, and otherwise handled.
1. Who This Policy Applies To
This policy applies to personal data processed by UnGuise Ltd in connection with: the UnGuise website at www.unguise.com, Axiom Myth by UnGuise at www.axiommyth.com and any related app or digital experience, the Kiln of Kin by UnGuise at www.kilnofkin.com, and any official UnGuise-managed community spaces, including official Discord spaces where applicable. If a third-party platform such as Google Play, the Apple App Store, or Discord also holds or processes your data, that platform will handle its own data under its own policies and procedures.
2. Your Right To Request Deletion
Under UK data protection law, you may have the right to ask for your personal data to be erased in certain circumstances. In broad terms, this right may apply where the data is no longer needed for the purpose for which it was collected, where consent is withdrawn and there is no other lawful basis to continue, or where there is no compelling reason for continued processing.
This right is not absolute. UnGuise may refuse or limit a deletion request where retention is necessary for compliance with legal obligations, the establishment, exercise, or defence of legal claims, fraud prevention, security, or other lawful purposes permitted under applicable law.
3. How To Make A Deletion Request
To request deletion of your personal data, please contact UnGuise at hello@unguise.com and include enough information for the request to be understood and processed. A request should ideally include your full name, the email address or account details connected to the request, the service or platform involved, and a clear description of the data you want deleted.
If the request relates to Axiom Myth, Kiln of Kin, or an official UnGuise Discord community space, please state this clearly in the request so it can be handled more efficiently. Where an app account deletion route is made available within Axiom Myth, users should be able to use that in-app route as well as this web-based contact route where required.
4. Identity Verification
Before deleting personal data, UnGuise may need to verify the identity of the person making the request. This is to help protect personal data from unauthorised deletion requests and to ensure that data is not disclosed or removed at the request of someone who is not entitled to make that request.
If additional information is reasonably required to verify identity, UnGuise may ask for it before acting on the request. Where identity cannot be adequately verified, UnGuise may refuse the request or ask for further evidence before proceeding
5. What UnGuise will do after receiving a request
UnGuise will review the request and determine whether the right to erasure applies in the circumstances. Where deletion is required, UnGuise will erase the relevant personal data without undue delay, subject to any lawful exceptions and any need to retain limited records showing that the request was received and handled.
Where a request cannot be fully granted, UnGuise will explain, so far as appropriate and lawful, why the data cannot be deleted in full. In some cases, restriction of processing, suppression, or limited retention may be more appropriate than complete deletion.
6. When UnGuise may not delete data
UnGuise may retain some or all of the relevant personal data where retention is necessary to comply with a legal obligation, to establish, exercise, or defend legal claims, to maintain appropriate business, tax, accounting, or regulatory records, or to protect the security and integrity of services and users.
UnGuise may also retain limited information where necessary to prevent fraud, detect misuse, enforce rights, resolve disputes, or ensure that a deletion request itself has been properly recorded and actioned. Retention in these circumstances will be limited to what is reasonably necessary and lawful.
7. Deletion of accounts and associated data
Where UnGuise offers an account-based service, a request to delete an account will generally be treated as a request to delete the personal data associated with that account, subject to any lawful exceptions set out in this policy. If a user asks only for account closure, UnGuise may need to clarify whether the request is intended to cover deletion of associated personal data as well.
If Axiom Myth includes account creation, users should be given a route to request deletion of the account and associated data in line with applicable app store requirements. This policy and contact route are intended to support that process, but UnGuise may also provide an in-app deletion flow where required.
8. Community spaces and Discord
If you participate in the Kiln of Kin or an official UnGuise Discord community space, UnGuise can only delete personal data that it controls or processes directly. Discord and other third-party platforms remain responsible for the data they control under their own policies.
If a deletion request relates to content or information shared in a community space, UnGuise may remove or anonymise data it controls where appropriate and lawful. However, it may not always be possible to fully remove content already processed, quoted, logged, moderated, or retained by third-party platforms or other users.
9. Data retained in backups and archives
Where technically feasible and legally required, UnGuise will delete relevant personal data from live systems. In some cases, residual copies may remain in secure backups for a limited period until those backups are overwritten or securely deleted in the ordinary course of business.
Where backup retention applies, UnGuise will not restore deleted personal data back into live systems except where strictly necessary for security, disaster recovery, legal compliance, or other lawful reasons. Any such handling will remain subject to appropriate safeguards.
10. Timeframes
UnGuise will respond to deletion requests in accordance with applicable UK data protection law. Where the request is valid and no lawful exception applies, deletion will be carried out without undue delay and within the time period required by law, although more time may be needed where requests are complex or numerous.
If extra time is needed, UnGuise will inform the requester in accordance with applicable law.
11. Children
UnGuise does not knowingly collect personal data from children under the age of 13 through its website or community spaces. If UnGuise becomes aware that personal data relating to a child under 13 has been collected without appropriate lawful basis or consent where required, UnGuise will investigate and, where appropriate, delete that information.
If a parent or guardian believes that a child under 13 has provided personal data to UnGuise, they should contact info@unguise.com as soon as possible.
12. Requests that cannot be fulfilled by UnGuise alone
Where personal data is held by a third-party platform, service provider, or app store acting as its own controller, UnGuise may not be able to delete that data directly. In those cases, the requester may need to contact the relevant third party separately under that party's own privacy and deletion procedures.
This may apply, for example, to data held directly by Google Play, Apple, Discord, or similar third-party services.
13. Changes to this policy
UnGuise may update this Data Deletion Policy from time to time to reflect changes in legal requirements, technical systems, products, services, or data-handling practices. The most current version will always be published on the relevant website with the latest update date shown at the top.
